Job Overview and Position Objectives: 

The Foundation is seeking a Community Programs Manager. This position will be responsible for implementation and day to day execution and management of program activities, as well as administrative support for in house Community & Education Program initiatives (Mr. Stevey Friends, ArtSELF, Artist in Residence, and Community Engagement).  Reporting to the Executive Director of Mission & Impact, the Community Programs Manager serves as a key individual in the implementation of initiatives by working with community partners, teaching artists and foundation staff. This position will administer programs (e.g., scheduling, contracting, reporting), execute events, foster new relationships and contribute to departmental growth and data management for impact reporting.

 

The multi-faceted nature of this role provides an exciting opportunity for an entrepreneurial, self-motivated and disciplined arts administrator to be a part of an organization poised for growth and expansion: in addition to its existing operations and mission-driven programming, the foundation will eventually oversee the operations of the future Sarasota Performing Arts Center – a civic asset that will impact future generations to come.

Essential Duties and Responsibilities:

Program Management (70%):  

  • Manage day to day administration of Programs, including scheduling, contracting, supplies, and related tasks.

  • Work with community partners to schedule visits and provide detailed lists of program requirements.

  • Work with Foundation teaching artists to schedule visits, contract work, and ensure supply requests are submitted in a timely fashion.

  • Order and manage all departmental supplies, especially ensuring that teaching artists have supplies needed to conduct lessons.

  • Attend Education events and lead set-up and break down. Distribute surveys, photo releases, or other logistical requirements.

  • Working with the Finance Department, set up new teaching artists and vendors within various software platforms.

  • Manage Education calendar, highlighting Foundation events, Hall events, and advocacy opportunities.

Relationships & Partnerships (15%)

  • Foster relationships with current and future organizational partners.

  • Attend meetings as Education Representative (i.e. Sarasota County Arts Education Partnership).

Marketing & Communications: (5%)

  • Maintain department photo and video library, as well as acknowledgements to be utilized across the Foundation

  • Working with the Marketing team, coordinate shoots with photographers/videographers to expand asset library as needed.

Program Evaluation (10%):

  • Maintain a system for tracking metrics identified by ED of Mission & Impact and AECE Committee through identified platforms (Tessitura, Microsoft Excel, Survey Monkey, and Jot Form, presently).

  • Perform data entry from sign-in sheets and surveys to aid in program assessment and evaluation as identified in the Foundation’s evaluation plan.

   Knowledge, Skills and Abilities: 

  • Clear and effective communicator with a strong collaborative spirit.

  • Understanding of best practices and experience with Arts & Education in a variety of settings.

  • High degree of comfort inputting data, performing look ups and utilizing built in reporting in CRMs. Experience with Tessitura a plus.\A passion for data and proficiency with inputting and understanding data accurately to measure impact.

  • Proficient in MS O365, including Excel, Word, Power Point, Outlook, and MS Teams, Zoom, Canva, and Adobe Pro

  • Cost conscious and effectively conserves organizational resources.

  • Experience working within set budgets to assure successful and fiscally responsible program implementation.

  • Ability to thrive in a fast-paced, evolving organization is a must; can multitask with ease.

  • Proven ability to solve problems creatively, efficiently and satisfactorily; takes a solution-oriented approach to challenges.

  • Highly organized and possesses superior time management skills. Ability to manage competing demands and priorities.

  • Experience working with outside consultants and vendors.

  • Supervisory experience and leadership skills in working effectively with volunteers and vendors.

  • Excellent interpersonal and communication skills.

Required Education and Experience:

  • Bachelor’s degree in the Arts, Education, Business, Management or a related field, or relevant experience. (Master’s Preferred)

  • Demonstrated Program management or administration experience.

  • Demonstrated ability to work with a wide variety of stakeholders.

Minimum Requirements: 

·       To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • 2-3+ years of administration experience, with experience in program management and event logistics.

  • Nonprofit experience and familiarity with the performing arts and/or education is preferred, but not required.  

Position Status: 

This is an exempt full-time position. Generally, the Foundation’s office hours are 9:00 a.m. to 5:00 p.m., Monday through Friday, for a 40 hour work week. However, this position frequently attends Departmental Events outside of our typical hours. Some weekend and evening work is to be expected, including 2 Saturday community events a month. This position generally has some local and regional travel, but typically no more than five percent of the time.

The employee must occasionally lift and/or move up to 30 pounds.

 Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
